How intake works when it gets busy
- Appointment or walk-in. Anyone who books ahead picks a free slot themselves via your booking link or the QR poster. Walk-ins scan the check-in QR code at the counter and enter their name, phone and email on their own phone – no app and in one of eight languages. You copy the details into the job instead of having them spelled out.
- Record the bike. Type in the make and model, choose the type – from city bike and e-bike to kids' bike – and enter the frame number. Instead of typing, you can also dictate the job, e.g. “Trekking bike, rear puncture, chain, ready tomorrow, Mrs Weber 0170 1234567”. Taskly pre-fills the matching fields and you check them.
- Tick off what's handed in. Battery, charger, keys, display: one tick and it's on the job the customer signs.
- Tap the work. Service, brakes, gears, puncture, chain and more, plus price, deposit and “ready by”. Anyone who needs their bike tomorrow for the commute gets the priority “Urgent” and moves up the list.
- Take photos. Scratches in the paint, a bent rim or a crack in the battery housing – photographed with the tablet or via QR code with a phone. The pictures go straight into the job.
- Get it signed. The customer signs with a finger on the tablet or on their own phone. At the same time they decide whether and how they want to receive messages from you.
- Mark as done and hand over. One tap on “Ready” and the customer gets an email that their bike is ready for collection. At collection you set the status to “Collected” and create the invoice from the job if you want.
These are the fields in the “Bikes & e-bikes” workshop order
The “Bikes & e-bikes” template is fully set up in Taskly. The printout says “Workshop order” with the addition “Bike · e-bike”; Taskly assigns the job number itself, starting with FR. No field is required – when you save, Taskly reminds you once about name, contact, job and signature; the signature can be added at any time. Anything you don't need, you can leave blank or change in the template builder.
| Section | Fields |
|---|---|
| Customer | Title, first name, last name, company, address, phone, email |
| Bike | Make / model, type (city, trekking, mountain bike, road / gravel, e-bike, cargo bike, kids' bike), frame number, handed in (battery, charger, keys, display) |
| Work | Service, brakes, gears, puncture / inner tube, tyres, chain, lights, wheel / spokes, suspension, e-bike diagnostics, battery check, other details |
| Job | Price, deposit, ready by, received by (fills itself in), date received (fills itself in), work carried out |
| Parts & labour | Items with quantity, unit and price – they go into the invoice later |
| Photos | Photos at intake |
| Signature | Customer signature |
Below the job there are pre-filled terms: by signing, the customer places the order; added to this are a retention of title until payment and storage of uncollected items for six weeks after completion. You change the text yourself. You should replace the retention of title: with a repair the bike already belongs to the customer, so it usually doesn't fit. More accurate is, for example: “We will only hand over the repaired bike once it has been paid for in full.” Have the text checked legally if needed; Taskly is no substitute for legal advice.
Prefer paper first? Bike workshop order as a PDF
The same details are available as a blank printable form – free and without signing up. With fields for the type of bike, frame number, battery number, parts handed in, work, approval amount and collection. You may use it for your business, adapt it and print it with your stamp or logo.
The notes on the form are a suggested wording, not legal advice. For other repairs there's the universal repair order template.
E-bikes: documenting battery, charger and keys properly
With an e-bike, more than the bike comes over the counter: battery, charger, battery key, sometimes the display. So that nothing is missing or mixed up at collection, Taskly records what was taken in.
- Handed in: the ticks for battery, charger, keys and display are on the signed job, on the printout and in the customer's link.
- Battery number: in the template builder, add a field of the type “IMEI / serial number”, for example “Battery number”. Search then finds it just like the frame number.
- Photos: photograph the battery, display and charger at intake – then their condition is on record too.
- Search by frame number: if a bike is standing in the workshop without a ticket, you find the job by its frame number.
- Diagnostics: “E-bike diagnostics” and “Battery check” are tick-box jobs. Taskly doesn't read out the motor and battery; you attach the report from the manufacturer's diagnostic software to the job as a PDF or photo.
In peak season: spread the rush, save on queries
In peak season every minute at the counter counts. These features are included in Taskly; you switch online booking and reminders on individually:
- Online booking: customers book a free slot themselves via your link or the QR poster – you decide the services and their duration, the times, how many appointments can run at once and the days you're closed. The “Note for customers” might say, for example: “Please bring the battery key.” Later you create the work order straight from the appointment – with the customer's details already filled in.
- Status page: the link in the email shows progress like parcel tracking – received, in repair, done and ready for collection. If there's a spare part on your order list for the job, the customer also sees whether it's been ordered or has arrived. You can add a short note such as “Rear derailleur ordered, arriving Thursday”.
- Collection reminder: if a finished bike is still there after a few days, Taskly reminds the customer – up to three times, at intervals you set. If you like, the last reminder mentions a storage fee or disposal, as stated in your order terms.
- Reminder for the next service: on the job you set “Next service / inspection”, for example in 12 months. If the service reminder is switched on, Taskly writes to the customer in good time beforehand with a link to online booking, and every reminder includes an unsubscribe link. The service reminder counts as advertising. The question on the customer's phone only asks about messages regarding the job; whether that's enough for a reminder about the next service is for you to check. Only switch it on if you have suitable consent – not legal advice.
What Taskly costs
For a bike workshop, Taskly costs €19 a month incl. VAT – all features, including online booking, reminders and invoices, cancel monthly. You try it free for 30 days with no credit card; the trial ends automatically without anything being charged. Each business has 2 GB of storage, and a single file can be up to 25 MB – photos of the bikes count towards this. Messages to customers go by email; SMS is available on request for enabled businesses. Pricing and limits in detail
What Taskly is not
Taskly replaces the paper job ticket and everything that goes with it: intake, signature, photos, status, message to the customer and a simple invoice. Taskly doesn't include a till system or stock management with an item catalogue and inventory for the bike trade. There's no connection to dealer, wholesaler or leasing portals and no interface to the drive manufacturers' diagnostic software. If you need sales, stock and workshop in one program, specialised bike-trade software is the better choice. Taskly works well alongside an existing till system, though: payments are taken as before, and the job runs through Taskly.
FAQ from bike workshops
How do I record that the customer handed in the battery and charger?
In the “Handed in” field you tick battery, charger, keys and display. This is on the job the customer signs, on the printout and in the link they get by email. Photos at intake also show the condition. For the battery's serial number, add a separate field if needed.
Can customers book their workshop appointment online?
Yes, with online booking. You decide what can be booked – for example “Service” with its duration – at which times, how many appointments can run at once and on which days you're closed. Customers book via your link or a QR poster and receive a confirmation by email, which they can also use to cancel. The appointments appear in your calendar.
Is the customer told when their bike is ready?
Yes. When you tap “Ready”, they get an email with a link to their job; there they also see what's still to pay at collection. SMS is available on request for enabled businesses – write to us if you'd like to use SMS. If the customer chose how they want to receive messages when signing, Taskly respects that.
What do I do with bikes that aren't collected after the repair?
Switch on the collection reminder: Taskly reminds the customer up to three times, by default after 7, 14 and 28 days. The pre-filled note mentions six weeks of storage after completion; adapt it to your order terms. What else you're allowed to do, such as charging a storage fee, depends on the individual case. If in doubt, get advice – this information is no substitute for legal advice.
Can I bill parts and labour?
Yes. In the “Parts & labour” block you enter items with quantity, unit and price. From these you create a simple invoice – with VAT or as a small business under § 19 UStG (German VAT Act) – and a deposit is deducted as already paid. It doesn't replace a till system.
Does Taskly work with bike leasing schemes?
There's no connection to leasing portals. You take in leased bikes like any other bike. If you need the leasing or contract number on the job, add a separate field for it in the template builder. Approvals and billing with the leasing company continue the way they specify.
Can I print a tag for the bike?
Taskly doesn't have its own label printing. The workshop order is printed on A4 or saved as a PDF. You write the job number – for the bike template it starts with FR – on your usual repair tag. Search also finds the job by name, phone number or frame number.
What does Taskly cost for a bike workshop?
Taskly costs €19 a month incl. VAT – with workshop order, signature, status page, online booking, reminders and invoices. You try it free for 30 days with no credit card; the trial ends automatically and nothing is charged. Details are on the pricing page.
