How taking in a laptop works with Taskly
- Record the customer. You'll find regular customers in your customer records, business customers with their company name too. New customers can enter their name, phone and email themselves if they like: they scan the QR code on the display, no app and in their own language.
- Record the device. Choose the device type and type in the make and model, for example “Lenovo ThinkPad T14”. You don't need to type the serial number: photograph the rating plate or the sticker and Taskly reads the model and serial number. You can also dictate the job, e.g. “Lenovo ThinkPad, won't start, 89 euros, deposit 20, ready Thursday”. Either way you check the values before saving.
- Tick off accessories. Charger, bag, mouse, keyboard, storage media or cables: whatever was handed in is on the job. At collection you can see what goes back.
- Clarify the backup. Has the customer backed up themselves, should the workshop back up, or is no backup needed? You select the answer and it appears on the job the customer signs.
- Record faults and condition. Tap the faults, from “Won't start” to “Wi-Fi / network”. Scratches, dents or a broken hinge – photograph them right at intake.
- The customer signs. On the tablet or via QR code on their own phone – handy if there's only a PC at the counter. The customer reads your terms, decides for themselves about messages by email or SMS and signs with a finger. They then receive the job as a link by email; a printout is possible on request.
- Parts, completion, collection. If a spare part is missing, put it on the order list linked to the job. The timeline the customer sees via their link then shows, for example, “Spare part ordered – we're waiting for delivery”, without naming the part. One tap on “Ready” and they're notified. At collection you enter the work carried out and create an invoice from the job if you want.
These are the fields in the “Computers & IT” template
The template follows the flow at the counter: first the customer, then the device with accessories and backup, then the fault. No field is required – when you save, Taskly reminds you once about name, contact, job and signature; the signature can be added at any time. Anything you don't need, you can leave blank or change in the template builder.
| Section | Fields |
|---|---|
| Customer | Title, first name, last name, company, address, phone, email |
| Device | Device type (laptop, PC, Mac, tablet, printer, network/router, other), make / model, serial number, password / PIN |
| Accessories handed in | Charger, bag, mouse, keyboard, storage media, cables |
| Backup | Customer backed up themselves, backup by us requested, no backup needed |
| Fault details | Won't start, very slow, virus / malware, screen faulty, keyboard faulty, battery / charging, overheating, water damage, data recovery, software / installation, Wi-Fi / network, other faults |
| Job | Price, deposit, ready by, received by (fills itself in), date received (fills itself in), work carried out |
| Photos | Photos at intake |
| Signature | Customer signature |
The terms are pre-filled – asking the customer to back up their data before handing it in, a sentence on liability for data loss (“as far as legally permitted”), a retention of title until payment and storage of uncollected devices for 6 weeks. This is a suggested wording you can change freely. You should replace the retention of title: with a repair the device already belongs to the customer, so it usually doesn't fit. More accurate is something like “We will only hand over the repaired device once it has been paid for in full.” How far a note actually limits liability depends on the individual case. Have it checked if needed, for example through your chamber or a lawyer; Taskly is no substitute for legal advice. You'll find a blank printable template under repair order template.
Backup: clarify who backs up before you start
With a computer it's rarely just about the device – it's almost always about the data on it. That's why the backup question belongs at the start of the repair, not at the end.
- Customer backed up themselves: this is recorded on the job with their signature.
- Backup by us requested: agree the effort beforehand and enter the agreed price in the job. That way there are no surprises at collection.
- No backup needed: for example if there's no important data on the device. The customer confirms this with their signature too.
- Encrypted drives: if a drive is encrypted with BitLocker, for example, Windows may ask for the recovery key after a hardware swap. Ask beforehand whether the customer has it. You can add a separate field for it in the template builder.
If it's about recovering data itself, choose “Data recovery” under the fault details and describe which files matter under “Other faults”.
Data protection with passwords
A password isn't an ordinary job detail: anyone who knows it can get at the customer's emails and photos, and with business customers at company data too. For many jobs, such as a screen or battery replacement, you don't need it at all. This is how you handle it sparingly, and how Taskly handles it:
- Only ask when necessary. The “Password / PIN” field is optional. Only fill it in if you need to log in to repair or test.
- Prefer a temporary password. Ask the customer to set a temporary password before handing the device in, or to create a separate user account for the workshop, and to change it again after collection.
- Hidden from the customer. In the customer's link and on their printout, the password only appears as ••••. If the customer signs on their own phone, they also only see •••• there.
- Readable for your team and on the printout from the app. In the job and on the printout you print from Taskly, the password is in plain text so you can work with it. So don't leave printouts with passwords lying openly on the counter.
- Delete after the repair. Clear the field and save as soon as you no longer need the password – at the latest before you set the job to “Collected”.
- Data stored in the EU. The database and files are stored in the EU. The data processing agreement under Art. 28 GDPR is part of signing up.
- AI without storage. Photos of the rating plate and voice recordings for dictation are only processed for recognition and are not stored.
For IT services with business customers
If you look after business customers alongside the workshop, create them with company name and contact person in your customer records and see all of a customer's jobs at a glance. You can search by name, company, job number or serial number. For on-site visits, add fields for start, end and an item list for materials and working time in the template builder. On paper, the work order template fits.
Store your customers' maintenance contracts and software subscriptions under “Contracts” with their term and notice period. Taskly works out the deadlines and reminds you by email in good time before a contract expires.
What Taskly costs
The same applies to PC workshops as to every business: Taskly costs €19 a month or €190 a year (2 months free), each incl. VAT – one plan, all features, cancel monthly, with annual payment at the end of the 12 months. You try it free for 30 days with no credit card; the trial ends automatically without anything being charged. Your data stays readable and exportable afterwards. Each business has 2 GB of storage, and a single file can be up to 25 MB. SMS is available on request for enabled businesses. All details on pricing and limits
What Taskly is not
Taskly replaces the paper repair order at the counter and everything that goes with it. Taskly doesn't include remote maintenance, monitoring of customer networks, inventory, licence management or a helpdesk with its own email inbox, nor a till system or stock management with inventory levels. If you look after entire company networks, specialised IT service software is the better choice. For payments, keep using your till system or create a simple invoice from the job in Taskly.
FAQ from PC workshops
Where do I enter the customer's password, and who sees it?
In the “Password / PIN” field in the “Device” block. The field is optional. Your team sees the password in the job, and it appears on the printout from the app. In the customer's link and on their printout it only appears as ••••, as it does on the signing page on their own phone. Delete it from the job as soon as you no longer need it.
Can I photograph the serial number instead of typing it?
Yes, with “Photo instead of typing”: photograph the rating plate or the sticker with the serial number. Taskly reads the model and serial number and enters them in the form. Check the values before saving. The photo isn't stored for this, and the AI helper can be switched off per business.
How do I record whether the customer has backed up their data?
With the “Backup” selection field: “Customer backed up themselves”, “Backup by us requested” or “No backup needed”. The answer appears on the job the customer signs, together with your note on backups.
Do I need a tablet at the counter?
No. Taskly runs in the browser, on the PC at the counter too. For signing, you then choose “On the customer's phone (QR code)”: the customer scans the code on the screen, checks the details and signs with a finger on their phone. The link is valid for 24 hours and only once.
Does the template also work for printers, tablets and routers?
Yes. For the device type you choose between laptop, PC, Mac, tablet, printer, network/router and other. For smartphones there's a separate template with IMEI and unlock code – more under phone repair.
Can I add fields, for example for on-site visits?
Yes, in the template builder. There you add, for example, time fields for start and end, an item list for materials and working time or a text line for the location. You also change the title and the terms there.
Is the customer told when their laptop is ready?
Yes. When you tap “Ready”, Taskly sends them a message by email. SMS is available on request for enabled businesses. If the customer chose how they want to receive messages when signing, Taskly respects that.
What does Taskly cost for a PC workshop?
Taskly costs €19 a month incl. 19% VAT per business – one plan with all features, cancel monthly. If you pay annually, it's €190 a year – 2 months free – 17% cheaper; you pay the 12 months in advance. You try it free for 30 days with no credit card; the trial ends automatically and nothing is charged. After that, your data stays readable and exportable – to keep working, you take out the subscription. Full details are on the Pricing page.
