Explained in detail
This page shows what Taskly can do today – not what might come some day.
These features each have their own page – with step-by-step process, data protection, limits and FAQ:
-
The customer signs with a finger on the tablet or via QR code on their own phone – with consent for email and SMS there.
-
Customers scan a QR code at the counter and enter their name, address and contact details themselves – no app, in 8 languages.
-
One tap on “Ready” and the customer is notified – by email, SMS on request. With status page, consent and withdrawal.
-
Fills itself from the work order: a customer's contact, jobs, contracts, invoices and files on one card – Taskly recognises regular customers by their phone number.
-
Dictate the job or photograph a rating plate, IMEI sticker, vehicle registration document or business card: Taskly pre-fills the fields, you check. Audio and photos aren't stored.
How the features work together
- Take in. The customer enters their details via self check-in, or you record the job – by keyboard, dictation or a photo of the rating plate. If they booked an appointment online, one tap turns it into a work order.
- Sign. The customer signs on the tablet or via QR code on their own phone. On their own phone, they choose for themselves whether they want messages by email or SMS.
- Confirm. Taskly assigns the job number, prints on request and sends the customer the work order as a link by email. Via the link they see how far their job has got.
- Work on it. Status to “In repair”, missing parts onto the order list, photos onto the job.
- Mark it done. One tap on “Ready” and the customer is notified that they can collect.
- Collect and bill. Status “Collected”, and if you want the invoice from the job – with the deposit already deducted.
All features at a glance
Taking in jobs
- Work order16 ready-made templates – from repair tickets to job sheets (all industries). Tap faults and work, enter price, deposit and “Ready by”, attach photos, set priority. Job number, date and “Received by” fill themselves in; printout or PDF.
- Template builderAdd your own blocks – text fields, tick boxes, dates, amounts, items, photos, signature, notes – and combine templates. You change the title and note yourself; the printout and customer link adapt.
- Self check-inThe customer scans a QR code at the counter and enters their name, address and contact details on their own phone – no app, in their language, and depending on your settings with a signature straight away. Taskly deletes entries after 24 hours at the latest; details you copied over are on the work order.
- Dictation and photo instead of typingDictate the job or photograph a rating plate, IMEI sticker, vehicle registration document or business card: the AI pre-fills the fields, you check. Audio and photos aren't stored; the helper can be switched off per business.
- Photos from phoneVia QR code you – or the customer, for example of some damage – upload photos with your own phone. They appear straight away in the open job. The link is valid for 30 minutes.
- Online bookingCustomers book a free slot themselves via your link or QR code – according to your opening hours and services. With an email address they get a confirmation with a link to cancel; one tap turns the appointment into a work order. Switched off by default.
With the customer
- ReceivedMon, 10:12
- Being repairedTue, 09:40
- DoneWed, 15:05
- Collected–
- Digital signatureThe customer signs with a finger – on the tablet or via QR code on their own phone. There they first check the details and read your notes; they only see codes hidden. The link is valid for 24 hours and only for one signature.
- Consent for email and SMSOn their phone, the customer decides for themselves whether they want messages by email or SMS. Taskly stores the choice with time, language and wording. Your team can only record a withdrawal, not consent.
- Messages to the customerThe customer receives the work order as a link by email. One tap on “Ready” sends them the message that they can collect. SMS is available on request for enabled businesses.
- Status to checkVia the link to their work order, the customer can see at any time how far their job has got – without phoning. The link doesn't show photos, and device codes and passwords only as ••••.
- RemindersIf you want, Taskly reminds customers about finished jobs that haven't been collected and about overdue invoices – via the same channels as the “ready for pick-up” message. Switched off by default.
Organising your business
- Customer recordsFills itself from the work orders: a customer's contact, jobs, contracts, invoices and files in one place. Taskly recognises returning customers by their phone number.
- SearchOne search field for jobs, customers, contracts, invoices and files – by name, job number, phone number, number plate or serial number.
- ContractsEnter the term and notice period: Taskly works out the deadline and reminds you by email before it runs out. You import mobile contracts from the order list of your dealer portal with “Contracts from screenshot”; the image is only used for reading.
- InvoicesFrom the job with one click – customer, price and deposit are already filled in. With VAT or as a small business under § 19 UStG (German VAT Act), consecutive invoice numbers, print or save as a PDF.
- Calendar“Ready by” dates, online bookings, notice periods, invoices due and service dates in a monthly view – plus your own entries, with a reminder if you like.
- Order listParts needed, linked to the job, with quantity, supplier and “order by”; status open, ordered or arrived.
- FilesUpload PDFs and photos and assign them to the customer, job or contract. 2 GB of storage per business, up to 25 MB per file.
- TeamYour own login for each person, with the roles owner, office and staff. “Received by” fills itself in; you block logins with one click.
- Daily briefingA short email to owners and office staff every morning: what's due, done, overdue, parts, appointments and deadlines – only when there's something. Can be switched off per person.
- LanguagesApp, customer pages and emails to customers in German, English, Turkish, Arabic, Russian, Ukrainian, French and Spanish. Everyone in the team chooses their language; customer pages and messages come in the language the job was created in, and the check-in can be switched on the customer's phone.
- Export and deletionWork orders as a spreadsheet for Excel (CSV), all data as a file (JSON). You delete your business yourself in the settings.
Which businesses it's for
All features are available to every business – whichever of the 16 templates it works with: phone shop, car or bike workshop, electronics and computer service, watches, tailoring, shoe repair and key cutting or the trades. What this looks like day to day in an industry is shown on the industry pages, for example software for phone repair. Prefer paper first? Under templates there's the repair order as a PDF to print.
Taskly as an app – on tablet, phone and PC
- Its own icon: on the home screen, in the dock or in the taskbar – open with one tap.
- Full screen: no address bar or tabs – more room for the work order.
- No app store needed: installed in two taps, updates arrive automatically.
Data and security
- The database and files are stored in the EU. The data processing agreement under Art. 28 GDPR is part of signing up.
- Every business is strictly separated. Taskly may only look inside if you ask for help or if a fault or security requires it – read-only, for one hour at most and logged. Owners and office staff see each of these accesses in the settings.
- One-time links for signing, check-in and photos expire and are only stored as a hash. Photos stay internal; device codes and passwords only leave the business as ••••.
- Privacy mode blurs names and contact details on screen – handy when someone at the counter is looking on.
- There's no tracking and no advertising in the app, and no AI is trained with your data. More on this in the privacy policy.
What Taskly is not
Taskly replaces the paper work order and everything that goes with it. Taskly deliberately doesn't include the following:
- No till system: payments continue to go through your till system; the work order isn't a payment receipt.
- No stock management: the order list remembers what's missing for a job – it doesn't keep stock levels.
- No car dealer management system: no parts catalogues, no labour units, no connection to manufacturers.
- No accounting: the invoices are simple invoices from the job; accounting and tax carry on as before.
- No qualified electronic signature: the finger signature is proof, but doesn't replace statutory written form where it's exceptionally required. This isn't legal advice.
- No offline mode: Taskly needs an internet connection to save. If it drops, the filled-in form stays until you can save again.
If you need till, stock and workshop in one program, specialised industry software is the better choice.

Features FAQ
What does Taskly cost?
All features on this page belong to one plan, the Taskly subscription: €19 a month incl. VAT, cancel monthly – or €190 a year (2 months free – 17% cheaper) – unlimited work orders, team with up to 10 logins, contracts and reminders, automations, AI capture, self check-in, online booking, templates and invoices. You try it free for 30 days with no credit card; the trial ends automatically and nothing is charged. SMS is available on request for enabled businesses. Details are under pricing.
Do I have to use all the features?
No. You can work with just the work order and leave everything else alone. Online booking and customer reminders stay off until you switch them on in the settings. Owners and office staff can switch off the AI helper for dictation and photos for the whole business.
Do my customers need an app or an account?
No. For check-in, signing, online booking and photo upload, the customer scans a QR code or opens a link. The page runs in their phone's browser – no app, no account and in one of eight languages.
Is Taskly available as an app?
Yes – without an app store. Taskly runs in the browser and can be installed as an app in two steps: on Android and on a PC via Chrome or Edge, on iPhone and iPad via Safari (“Share” → “Add to Home Screen”), and on a Mac also via Safari (“File” → “Add to Dock”). Taskly then has its own icon and starts in full screen; updates arrive automatically. Step by step: install Taskly as an app.
Can several staff members work with Taskly?
Yes. Everyone gets their own login and works in their own language. The staff role covers work orders, customers, contracts, invoices and files; office staff can also change templates, settings and invitations. Only the owner manages roles and can delete the business.
How do my existing customers and contracts get into Taskly?
Your customer records fill up as you work: every work order with a phone number or email address creates a customer card or adds to the existing one. You import mobile contracts with “Contracts from screenshot” from the order list of your dealer portal and check every row before it's created. There's currently no import of customer lists from other programs in the app.
What does the AI do – and what happens to recordings and photos?
The AI pre-fills fields: from a dictation, from a photo of a rating plate, IMEI sticker, vehicle registration document or business card, and with “Contracts from screenshot” from the image of your order list. You check the values before saving. Voice recordings and photos for dictation and “Photo instead of typing” only go to Cloudflare Workers AI for recognition and are neither stored nor used to train AI models.
Can I take my data with me?
Yes, at any time. In the settings you download work orders as a spreadsheet for Excel (CSV); owners and office staff can also export all data as a file (JSON). There the owner can also delete the business completely. You download PDFs and photos in the Files section.
