What is a repair order?
A repair order records what a business is to repair for a customer: which item, which fault, at what price or cost limit and by when. With their signature, the customer confirms the order and the business's notes. Legally, a repair order is usually a contract for work under § 631 BGB (German Civil Code).
The law usually doesn't prescribe a particular form for it – a repair order can also be agreed verbally. The written order with a signature mainly serves as proof: what was agreed, what condition was the item in, what price was arranged? This classification is general and not legal advice.
These details belong in a repair order
| Detail | What it's for |
|---|---|
| Business with address and phone | Shows who is taking the order. A stamp is enough. |
| Job number and date received | Clear identification for queries and at collection. |
| Customer: name, phone, email, address if needed | For queries and the message that the repair is done. |
| Item: type, make, model, serial or IMEI number | Prevents mix-ups – especially with lots of identical devices. |
| Accessories handed in | Charger, case, battery, keys: what was handed in must also go back. |
| Condition and existing damage at intake | Record scratches, cracks or dents in writing and ideally with a photo – that avoids disputes at collection. |
| Fault description or customer request | Defines exactly what has been ordered. |
| Price or estimate, approval limit | Cost clarity: up to what amount may the repair go ahead without asking? |
| Deposit | Proof of what has already been paid. |
| Expected ready date | Gives the customer a date and you a deadline for planning. |
| Business's notes | For example on data backup, handing over only after payment, and how long uncollected items are kept. |
| Customer signature with date | Confirms the order and that the customer has read the notes. |
| Received by | Who in the team took in the job – important for queries. |
| At collection: work carried out, amount, signature | Completes the order and documents the return. |
The notes on the template are a suggested wording and not legal advice. Have them checked for your business, for example through your chamber or a lawyer.
What's added depending on the industry
- Phones and tablets: IMEI or serial number, the unlock code (only if needed for the repair) and a note on data backup. There's a separate phone repair order template with a collection slip for this; more under software for phone repair.
- Computers and IT: device type, password or PIN, accessories handed in such as a power supply or bag, and whether a data backup is wanted. More under PC and laptop repair.
- Electronics and home appliances: serial number, whether a guarantee or warranty applies and whether an estimate is wanted beforehand.
- Bikes and e-bikes: make, model, frame number and parts handed in such as battery, charger, keys or display. More under software for bike workshops.
- Watches and jewellery: item, brand, material, weight, engraving and condition at intake – ideally with a photo.
- Car workshop: number plate, VIN, mileage, fuel level, approval amount and whether test drives are permitted. A separate workshop order is usual for this – the workshop order template for car workshops is also free.

Is a repair order valid without a signature?
As a rule, yes: a repair order is usually a contract for work and can also be agreed verbally. Without a signature, however, it's harder to prove what was agreed in a dispute – such as the price or the condition of the device at intake. This information is no substitute for legal advice.
May the customer sign the repair order digitally?
For repair orders, German law usually doesn't prescribe a particular form. A finger signature on a tablet or the customer's own phone then serves as proof that the customer placed the order and read the notes. Where strict written form is required in exceptional cases, it isn't enough. If in doubt, get advice – this information is no substitute for legal advice.
How long do I have to keep repair orders?
That depends on what the order is used for for tax purposes. Under § 147 of the German Fiscal Code (Abgabenordnung), commercial and business letters usually have to be kept for six years, and accounting records – such as the invoice and the documents it's based on – for eight years. The period starts at the end of the calendar year in which the document was created. What applies to your orders is best clarified with your tax adviser.
What does the digital version cost?
Taskly costs €19 a month incl. 19% VAT per business – one plan with all features, cancel monthly. If you pay annually, it's €190 a year – 2 months free – 17% cheaper; you pay the 12 months in advance. You try it free for 30 days with no credit card; the trial ends automatically and nothing is charged. After that, your data stays readable and exportable – to keep working, you take out the subscription. Full details are on the Pricing page.
