How repair intake works with Taskly

  1. The customer comes to the counter. New customers can scan the QR code on the display and enter their name, phone and email on their own phone – no app and in their language. Regular customers are saved in your customer records.
  2. Record the device and fault. Type in the device (e.g. “iPhone 13”) and tap the faults: screen faulty, battery faulty, not charging, water damage and more. You enter the unlock code in its own “Password / code” field. Instead of typing, you can also dictate the job – for example “iPhone 13, screen cracked, 189 euros, deposit 50, ready Friday” – or photograph the IMEI sticker. Taskly pre-fills the fields and you check them.
  3. Photograph existing damage. Scratches, cracks or a bent housing are recorded with photos at intake.
  4. The customer signs. Directly on the tablet or via QR code on their own phone. There they read your notes, decide for themselves whether they want messages by email or SMS, and sign with a finger.
  5. Out goes the repair ticket. Taskly assigns the job number, prints on request and sends the customer the repair ticket as a link by email.
  6. Mark it done. One tap on “Ready” – the customer is notified that their device is ready for collection.
  7. Collection. Enter the repair carried out, create an invoice from the job if you want – done.

These are the fields on the phone repair ticket

The “Phone & tablet” template is laid out like a classic paper repair ticket. No field is required – when you save, Taskly reminds you once about name, contact, job and signature; the signature can be added at any time. Anything you don't need, you can leave blank or change in the template builder.

The note on the ticket – on data loss, a retention of title until payment and how long uncollected devices are kept – is pre-filled and can be changed freely. You should replace the retention of title: with a repair the device already belongs to the customer, so it usually doesn't fit. More accurate is something like “We will only hand over the repaired device once it has been paid for in full.” Have the text checked legally if needed; Taskly is no substitute for legal advice. Data protection at the counter: codes and photos stay internal

  • The link in the email to the customer only shows the repair ticket: photos stay internal, and device codes only appear there – on the printout too – as ••••.
  • On the signing page, the customer also only sees codes and passwords hidden.
  • The customer sets the ticks for messages by email and SMS themselves. Taskly stores their choice with the time and wording as proof.
  • Taskly deletes entries made via the check-in QR code after 24 hours at the latest; details you copied over are on the job.
  • The database and files are stored in the EU. The data processing agreement under Art. 28 GDPR is part of signing up.
  • Voice recordings and photos for AI capture are only processed for recognition and are not stored.

For phone shops with mobile contracts

Many phone shops also sell mobile contracts. For this there's the “Mobile contract (record)” template: provider, tariff, phone number, term, hardware, number porting, monthly and one-off price, plus a tick for every document handed over – contract summary, order confirmation, cancellation policy, SIM card, privacy information. The customer confirms the consultation with their signature.

Under “Contracts” you store the term and notice period. Taskly works out the deadlines and reminds you by email in good time before a contract expires. You don't have to retype existing contracts: with “Contracts from screenshot” you upload a screenshot of the order list from your dealer portal, Taskly reads the customer, phone number, tariff and date, and you check the rows before creating them. The images are only used for reading and are not stored.

Multilingual at the counter

The pages for your customers – signing on their own phone and check-in via QR code – are available in eight languages: German, English, Turkish, Arabic (right to left), Russian, Ukrainian, French and Spanish. Your team can also use the app in any of these languages. Taskly sends SMS in languages with a different script, such as Arabic or Russian, in English.

What Taskly costs

Taskly costs €19 a month or €190 a year (2 months free), each incl. VAT – one plan, all features, cancel monthly, with annual payment at the end of the 12 months. You try it free for 30 days with no credit card; the trial ends automatically without anything being charged. Your data stays readable and exportable afterwards. Limits: 2 GB of storage per business and 25 MB per file. SMS is available on request for enabled businesses; write to us if you'd like to use SMS. All details on pricing and limits

What Taskly is not

Taskly replaces the paper repair ticket and everything that goes with it. Taskly doesn't include a till system, stock management with inventory or buying used devices under the margin scheme. If you need all that in one program, specialised phone shop software is the better choice. For payments, keep using your till system or create a simple invoice in Taskly. Put the spare parts you need on the order list, linked to the job.

FAQ from phone shops

Do I need an app or new hardware?

No. Taskly runs in the browser on a tablet, phone or PC. Added to the home screen, it starts like an app. You print on any printer your device knows – or as a PDF.

Where do I enter the unlock code, and who sees it?

In the “Password / code” field with the fault details. In the link the customer gets by email – on its printout too – and on the signing page, it only appears as ••••. Internally it's readable on the job.

Can I photograph the IMEI instead of typing it?

Yes, with “Photo instead of typing”: photograph the IMEI sticker or the rating plate, and Taskly reads the model, IMEI and serial number and enters them in the form. Check the values before saving. The photo isn't stored for this. The AI helper can be switched off per business.

Can the customer sign on their own phone?

Yes. You choose “On the customer's phone (QR code)”, the customer scans the code with their camera, checks the details – in one of eight languages, depending on which language the app was set to when the job was created – and signs with a finger. “Signed ✓” appears at the counter straight away. The link is valid for 24 hours and only once.

Is the customer told when their phone is ready?

Yes. When you tap “Ready”, Taskly sends them a message by email. SMS is available on request for enabled businesses – write to us if you'd like to use SMS in your shop. If the customer chose how they want to receive messages when signing, Taskly respects that.

Can I keep my existing paper ticket?

The “Phone & tablet” template is laid out like a classic repair ticket. If you're missing a field, add it in the template builder. You change the title and note yourself; the printout and customer link adapt.

What does Taskly cost for a phone shop?

Taskly costs €19 a month incl. 19% VAT per business – one plan with all features, cancel monthly. If you pay annually, it's €190 a year – 2 months free – 17% cheaper; you pay the 12 months in advance. You try it free for 30 days with no credit card; the trial ends automatically and nothing is charged. After that, your data stays readable and exportable – to keep working, you take out the subscription. Full details are on the Pricing page.

Does Taskly work without internet?

Taskly needs a connection to save. If it drops, the form reports “Not saved” and stays filled in. Taskly also keeps a new repair ticket as a draft on the device and offers it again after a reload. As soon as the connection is back, tap Save once.
